Terms of Service
Effective date: October 16, 2026
1. Who we are
Ask My Practice is a service of KouryWeb LLC, a Pennsylvania company. KouryWeb LLC does business as Ask My Practice. In these terms, "we" and "us" mean KouryWeb LLC. "You" means the practice and the person who accepts these terms for it.
By creating an account or using Ask My Practice, you accept these terms. If you do not accept them, do not use the service.
2. The service
Ask My Practice lets you ask plain questions about your Open Dental practice data in an AI app such as Claude or ChatGPT. We run a connector that your AI app calls. Each answer is a total, like a count of crowns or a dollar amount of production.
We built the service to return totals only. An answer does not include patient names, patient numbers, chart numbers, or dates of birth.
Ask My Practice is not affiliated with, endorsed by, or sponsored by Open Dental Software Inc.
3. Accounts and roles
You sign in with an email address and a passkey. You must give us a true email address. Keep your passkey and your devices safe. You are responsible for what happens under your account.
Each practice has two roles.
- Owner: Can connect locations, change definitions, invite people, manage billing, and stop data sharing. A practice can have more than one Owner.
- Member: Can ask questions. A Member cannot change settings or billing.
An Owner decides who gets access. If an Owner invites a person, the Owner is responsible for that person's use. An invite link works one time and expires after 7 days. A link a partner sends to set up a client practice works one time and expires after 30 days.
A consultant company can be linked to a practice as a Partner. People at a Partner can ask questions about the practices linked to that Partner and can set up new client practices. They cannot add or remove locations, change definitions, invite or remove people, or reach billing. An Owner can remove a Partner link at any time.
4. The customer key and your Open Dental access
To read your data, we create a customer key in the Open Dental Developer Portal. You paste the key into Open Dental at Setup, Advanced Setup, API. The key has Read All and Queries permissions.
You are responsible for the following.
- Keep the key enabled in Open Dental while you use Ask My Practice.
- Keep your own agreement and access with Open Dental in good standing.
- Tell us if you remove the key or change your Open Dental setup.
- Tell us if you think the key was shared or stolen.
If the key is removed or disabled, we cannot answer your questions. Open Dental sets its own rules and prices. We do not control them.
5. Paid plan and billing
A practice needs a paid plan to connect a location and ask questions. We may turn off the customer key of a practice that has not paid.
A paid plan costs $49 a month for each location. Each clinic counts as 1 location.
- Stripe processes all payments. We do not see or store your card number.
- The plan renews every month until you cancel.
- Any amount owed is charged to the card on file at each renewal.
- No sales tax is added to the price today. If the law requires us to collect tax, we will tell you before we start.
- A fair use limit of about 2,000 answers each month for each location applies. We will contact you before we act on heavy use.
An Owner starts a plan with the link we give in the chat. The link opens a secure Stripe page.
6. Cancellation
An Owner can cancel at any time in the Stripe customer portal. An Owner opens it with the link from the billing tool in the chat.
Cancelling stops the next renewal. Your plan stays active until the end of the month you paid for. We do not give refunds for part of a month.
7. Failed payments
If a renewal payment fails, Stripe tries the payment again several times. Stripe emails the Owner to update the card. Your plan stays active during these tries.
If the payment still fails after the last try, the plan ends. We then turn off the customer key. You can start a new plan at any time.
8. Price changes
We may change the price. We will give you at least 30 days of notice by email or in the chat before a new price starts. If you do not want the new price, you can cancel before it starts.
9. Acceptable use
You agree not to do any of the following.
- Break the law or the rights of others.
- Try to get patient names, patient numbers, or other patient rows out of the service.
- Try to get around the limits we set on questions or answers.
- Test, scan, or attack the service without our written permission.
- Resell the service or share an account with people outside your practice. A Partner may serve its linked practices.
- Use the service to harm, harass, or mislead anyone.
- Type patient names or other patient details into a question.
We may pause an account that breaks these rules.
10. Your data and privacy
Our Privacy Policy explains what we collect and how we use it. It is part of these terms.
You keep all rights to your Open Dental data. We do not own it. You give us permission to read it through your customer key, to run the queries that make your answers, and to store the totals described in the Privacy Policy.
11. Data sharing for benchmarks
Benchmarks let you compare your practice with others. To make them, we store aggregate data for benchmarking from practices that share. Sharing is on by default for every practice.
- A benchmark shows only when its group has 5 or more sharing practices.
- A benchmark never names another practice.
- Stored benchmark data holds totals only. It never holds patient data.
- An Owner can stop sharing at any time by asking in the chat. After that, the practice gets no benchmarks.
We may also read aggregate data to support and improve the service. We never read or store patient data.
12. Disclaimers
Every answer is a total from your own practice data. An answer is not financial, accounting, tax, legal, or clinical advice. Check important numbers against your Open Dental reports before you act on them.
Your AI app reads the totals and writes the reply. The AI app can make mistakes in how it explains a total. We do not control it.
The service is provided "as is" and "as available." We do not promise that it will be without error or interruption. To the most the law allows, we do not make any promise about the service beyond what is written here.
13. Limitation of liability
To the most the law allows, we are not liable for lost profits, lost revenue, lost data, or any indirect or special damages. This applies even if we were told they were possible.
To the most the law allows, our total liability for any claim is limited to the amount you paid us in the 12 months before the claim.
Some places do not allow these limits. In that case, the limits apply as far as the law allows.
14. Ending your use
You can stop using Ask My Practice at any time. Cancel your plan as described above. You can also remove the customer key in Open Dental.
We may suspend or end your access if you break these terms, if you do not pay, or if the law requires it. We will tell you when we can.
When your use ends, we stop reading your data. We handle your stored data as described in the Privacy Policy. Sections that must continue to make sense, like limits on liability and governing law, stay in effect.
15. Governing law
Pennsylvania law governs these terms. Any dispute will be brought in the state or federal courts for Northampton County, Pennsylvania, and you agree to those courts.
16. Changes to these terms
We may update these terms. We will post the new version here and change the effective date. For a material change, we will give at least 30 days of notice by email or in the chat. Using the service after a change means you accept it.
